## Scan bubble sheets with the scanner you already own

Print answer sheets on plain paper, hand them out, then scan the pile on an office copier, a flatbed scanner or a phone. Papeez reads the marks, matches each sheet to a student and works out the grades. No reader to buy, no forms to order.

## Key facts

- Answer sheets are read from **any scanner, office copier or smartphone**; Papeez accepts **PDF, JPG and PNG** files.
- Sheets print on **plain white paper** from your own printer. There are **no proprietary forms** to reorder and no optical reader to buy.
- Every printed copy carries a **unique barcode**, so a scanned sheet comes back to the right student even when the papers were shuffled.
- Shuffling works at **four levels**: choices, questions, exercises and sections, so no two neighbours hold the same paper.
- Results export to **Excel or PDF**, with per-question statistics and a mail merge that sends each student their grade.

## What does a bubble sheet scanner actually do?

A bubble sheet scanner is not a machine. It is software that reads an image of a filled-in answer sheet and decides, bubble by bubble, which ones a student marked. The technique has a name, [optical mark recognition](https://papeez.com/en/glossary/#omr), and it is older than the personal computer: the first machines cost thousands of dollars because reading the marks was the hard part.

Reading the marks stopped being the hard part. What a modern tool does is everything around it: line the page up when the copier fed it crooked, recognise the sheet even when it was photographed at an angle, tell a firm pencil mark from a smudge, find the student the sheet belongs to, flag the sheet where two bubbles are filled so a human can look, and turn all of it into grades and statistics.

That is why the scanner in the corridor is enough. The camera in your pocket is enough. What used to justify a dedicated reader now runs on the image, not on the paper.

## Phone, copier or flatbed: which should you use?

All three work. They fail differently, and the size of the stack is what decides.

| Capture device | Where it wins | What to watch |
| --- | --- | --- |
| Office copier or multifunction printer | A whole class in one pass, with the automatic feeder doing the work. This is the right answer above roughly thirty sheets. | Scan to PDF rather than to fax quality, keep the feeder rollers clean, and check that the copier is not shrinking the page to fit. |
| Flatbed scanner | Small batches and sheets that are creased, torn or stapled, because nothing pulls on the paper. | One page at a time, so it gets slow fast. Close the lid: an open lid puts a black band down one edge. |
| Smartphone | A handful of sheets, a room with no scanner, or a sheet that turned up late. | Shoot from directly above on a plain surface, avoid a shadow across the page, and let the whole sheet fit in the frame including its corner marks. |

There is no wrong device on this list, only a device that suits the pile. The one thing all three need is the same: the whole sheet in the image, right way up, in focus.

## What does a scan have to contain?

A sheet that grades itself is a sheet whose image answers four questions without anyone guessing. This is what to check before the pile goes through the feeder.

| The scan must carry | Why it matters |
| --- | --- |
| The four corner marks, all visible | They tell the software how the page was fed: how far it drifted, how far it turned, how far the copier scaled it. Without them, a scanned sheet is a picture of bubbles that has to be interpreted. |
| The identification block or its [barcode](https://papeez.com/en/glossary/#anonymity-barcode) | It is what attaches a sheet to a student. A barcode does it without a name on the paper, which is what makes an anonymous exam possible. |
| Every answer row, none cropped | A row that falls outside the frame is not a blank answer, it is a missing one. Papeez flags the sheet rather than scoring the row as wrong. |
| Enough resolution to separate a mark from the paper | Around 200 to 300 [dpi](https://papeez.com/en/glossary/#scan-dpi) in grayscale is the usual working range. Higher makes bigger files without reading better; much lower turns a light pencil mark into background. |

Anything that fails these checks is not silently scored. Papeez puts the sheet in front of you, shows what it read, and lets you correct it by hand before a single grade is published.

## How does grading a stack of bubble sheets work?

### Build the exam, or import one you already have

Write the questions in the editor, or import them from Word, Excel, PDF, an image or XML. Papeez lays out the paper and its answer grid, and prints a version per student when you want the papers shuffled.

### Print on plain paper and hand it out

The papers come out of your own printer, batched by room if the print room needs them that way. Each copy carries its own barcode, so a shuffled paper still knows which key it belongs to.

### Scan the pile

Feed the sheets through the copier, put them on the flatbed, or photograph them. Drop the PDF or the images into Papeez.

### Check what it read, then publish

Sheets it is unsure about are shown to you first. Grades, per-student dashboards, [per-question statistics](https://papeez.com/en/glossary/#item-analysis) and Excel or PDF exports follow.

## What does it cost?

The costs a Scantron-style setup carries are the ones that are absent here: no reader to buy or maintain, no pre-printed forms to reorder, no consumable that runs out mid-session. What is left is a subscription per examiner with a graded-paper quota, and a free trial with no credit card. The pricing page carries the current figures and is the only place we quote them, so that nothing on this page can go stale.

## Before you buy anything, try this

### Free bubble sheet generator

Ten to two hundred questions, two to six answers each, a name and ID block, corner marks and a print-ready PDF. No account, nothing sent to a server. Print one and put it through your own copier to see how a scan comes out.

### Bubble sheet grading software compared

Papeez against ZipGrade, GradeCam, Scantron, Akindi, Gradescope and Plickers, cell by cell, every competitor claim linked to the vendor page it was read on with its date.

## When this is the wrong tool

Papeez reads marks on paper. It does not run an exam on a screen, does not proctor anyone remotely and does not grade an essay. If your test is taken online, the same team builds Evalmee, an online assessment platform for higher education, and that is where digital intent belongs.

## Scan one stack and see

Print a sheet, fill it in, put it through your copier. It takes a coffee break to find out whether this works for you.

## Frequently asked questions

### What is a bubble sheet scanner?

A bubble sheet scanner is software, not a machine. It reads an image of a filled-in answer sheet and decides bubble by bubble which ones a student marked, using optical mark recognition. The image can come from an office copier, a flatbed scanner or a phone camera, so the scanner you already own is the scanner it needs.

### Can I scan bubble sheets with my phone instead of a Scantron machine?

Yes. Papeez accepts PDF, JPG and PNG files, so a photograph taken from directly above works the same way a copier scan does. A phone suits a handful of sheets or a room with no scanner; above roughly thirty sheets the copier's automatic feeder is faster, because it takes the whole stack in one pass.

### What resolution should I scan bubble sheets at?

Around 200 to 300 dpi in grayscale is the usual working range. Higher makes larger files without reading any better, and much lower turns a light pencil mark into background. What matters more than the number is that the whole sheet fits in the frame, right way up, with its four corner marks visible.

### Is there OMR software for teachers that works with plain paper?

That is what Papeez is. The answer sheets are printed on ordinary white paper from your own printer, with corner marks and a barcode laid out by the software. There are no pre-printed proprietary forms to order and no optical reader to buy, which is what separates this from a Scantron-style setup.

### Can each student get a different, shuffled version of the same test?

Yes. Papeez shuffles at four levels, choices, questions, exercises and sections, and prints a unique copy per student. Each copy carries its own barcode, so at scan time the software knows which version it is looking at and applies the right answer key without you sorting the pile.

### Does Papeez grade online tests as well as paper ones?

No. Papeez grades multiple-choice exams taken on paper and scanned afterwards. It does not run exams on a screen, does not proctor remotely and does not grade essays. For a test taken online, the same team builds Evalmee, an online assessment platform for higher education.
